SARS travel logbook and claim support

South African employees and sole proprietors who receive travel allowances must often maintain a logbook to support deductions. This tool captures trip date, odometer readings, business purpose, and kilometres, then applies deemed rates from versioned SARS tables for an indicative claim amount.

There is no GPS tracking—privacy-conscious users enter trips manually at month-end from paper notes or dashboard photos.

Worked example: mixed business kilometres

Suppose opening odometer 45,200 km and closing 48,100 km for the tax year, with 2,400 km logged as business across 38 trips. If the deemed rate in config is R4.76 per km for the qualifying year, indicative claim is about R11,424.00 before capping rules and employer allowance offsets.

If your employer pays a R5,000.00 monthly travel allowance, compare taxable portion rules in SARS guides—the calculator output is not a final IRP6 figure.

Minimum fields SARS examiners expect

Each trip should show date, kilometres, route or client, and business reason. Odometer year opening and closing readings anchor total distance. Gaps invite questions in audit—import JSON monthly so you do not retype a year of history.

Actual cost method users can still use the logbook for trip lists while applying their own fuel and maintenance spreadsheets.

PDF summary for your accountant

Download a summary PDF to hand to your tax practitioner with totals and trip tables. It supplements, not replaces, SARS eFiling entries.

Rates change with budget announcements—check effective_from dates in our config before relying on last year’s R4.76 figure.

Client-side data handling

Trip purposes may describe clients and sites; that stays on your machine during editing. Clear storage after completing a return on a shared laptop.

No location permissions are requested because we do not track movement in the background.
